Most small businesses in India already use WhatsApp every day. Very few have set it up as a sales channel. Customers ask “price?”, the owner replies from a personal-looking chat, and a repeat customer gets lost in a thread of 400 unread messages.
Getting the setup right is not complicated. It comes down to three choices: which product to use, how customers reach you, and what you’re allowed to send them.
What is the difference between WhatsApp Business App and WhatsApp Business API?
The WhatsApp Business App is free and runs on a phone. It suits one owner or a small team answering chats by hand. The Business API (officially the Business Platform) has no app of its own. You reach it through an approved provider, and it adds shared inboxes, automation and bulk messaging, with per-message fees.
| Business App | Business API | App + API (coexistence) | |
|---|---|---|---|
| Cost | Free | Meta’s per-message fee plus your provider’s subscription | 1:1 chats from the app stay free; template messages are billed via the API |
| Team access | One primary phone, limited linked devices | Multiple agents on a shared inbox | Both |
| Bulk messaging | Broadcast lists only, capped at 256 contacts | Approved templates to opted-in contacts | API for campaigns, app for conversations |
| Automation | Greeting, away message, quick replies | Chatbots, flows, CRM integration | Both |
| Setup | Download and verify the number | Sign up with a provider, get templates approved | Set up through a provider that supports it |
On cost: the API bills every delivered template message by category (marketing, utility, authentication). Since 1 July 2025 that is per message, not per 24-hour conversation. From 1 October 2026, service replies sent through the API also cost money after 1,000 free per number per month. Provider subscriptions vary widely, so compare two or three before committing.
One decision to make deliberately: before coexistence, moving a number to the API meant giving up the regular app on that number. Coexistence removes that trade-off, but you set it up during onboarding. Confirm your provider supports it before you migrate a number you rely on.
How do click-to-WhatsApp ads work?
A click-to-WhatsApp ad runs on Meta’s ad platform (Facebook and Instagram) but opens a WhatsApp chat instead of a landing page. It combines Meta’s targeting with a conversation in the app your customers already use, which suits businesses whose sales happen through back-and-forth.
Setup, in short:
- In Ads Manager, choose a campaign objective that supports the Messaging apps conversion location, then select WhatsApp.
- Link your WhatsApp Business number.
- Write the pre-filled message the customer sends when they tap. Make it specific (“Hi, I want the price for the 5kg pack”) rather than generic (“Hi”), so your first reply is relevant.
- Set up a greeting message and a few quick replies before the ad goes live, so nobody waits.
You can run these ads from the free Business App. You don’t need the API.
One measurement trap: “conversations started” is not a lead, and it is not a sale. Track cost per conversation, then cost per actual order. A campaign with cheap conversations and no orders is a campaign about to lose money.
How do you set up a WhatsApp product catalog?
In the Business App, open Settings, then Business tools, then Catalog, and add each item with a name, price, description, photos and a link if you have one. Group items into collections, then share a single product or the full catalog inside any chat.
Start with your 5 to 10 best-selling products, not everything you stock. A catalog that takes 30 seconds to scan gets used, and one that takes five minutes gets ignored. Keep prices current, because an outdated catalog costs more trust than having none.
What does a full WhatsApp sales funnel look like, from ad to close?
- Ad: a click-to-WhatsApp ad targets a specific product and audience.
- Chat opens: the customer’s pre-filled message arrives naming the product.
- Instant reply: your greeting message and quick replies acknowledge them within seconds.
- Catalog shared: you send the relevant product or collection, with price.
- Questions handled: answer objections in the chat, or hand off to a call for larger orders.
- Order confirmed: send payment details or a payment link, then confirm the order in writing.
- Follow-up: label the customer (new / paid / repeat) and, with their consent, add them to a broadcast list for repeat offers.
The gap between steps 2 and 3 is where most small businesses lose the sale. If the reply comes an hour later, the customer has usually messaged someone else.
How do you avoid getting your WhatsApp Business account banned for spam?
Message only people who have opted in, and stop the moment someone asks. That single rule prevents most account restrictions, because WhatsApp’s enforcement runs on user reports and blocks.
- Get opt-in first. A customer who chatted with you, or ticked a consent box at checkout, has opted in. A number bought from a list has not.
- Know the broadcast limits. On the Business App, a broadcast list holds up to 256 contacts, and only reaches people who have saved your number. If you need to reach thousands, that is the point where the API is the right tool.
- Use approved templates on the API. Marketing messages outside the 24-hour window must use Meta-approved templates.
- Avoid unofficial bulk-sender apps. Tools that automate the regular app are a common reason numbers get banned.
- Watch your quality signals. High block and report rates lower your sending limits on the API and can lead to restrictions.
- Keep frequency low. One useful message a week beats five promotions.
There is no single “safe number of messages per day.” Limits depend on which route you send from and on your quality rating.
Frequently Asked Questions
Is WhatsApp Business free?
The WhatsApp Business App is free. The Business API has no licence fee, but Meta charges per delivered message by category, and most businesses also pay a provider subscription. Coexistence keeps one-to-one chats from the app free while campaigns run through the API.
Can I run ads directly to my WhatsApp number?
Yes. Click-to-WhatsApp ads, created in Meta Ads Manager, open a chat with your business number when tapped. They work with the free Business App, so the API isn’t required.
How many broadcast messages can I send per day without getting flagged?
No fixed daily number exists. On the Business App, a broadcast list holds up to 256 contacts who have saved your number. On the API, limits depend on your messaging tier and quality rating. Staying opted-in and low-frequency matters more than any figure.
Does WhatsApp marketing work for B2B, or only D2C?
It works for B2B where conversations already happen over chat, such as quotes, order updates, follow-ups and delivery coordination. Utility-type messages (confirmations, status updates) are the safest fit. Cold promotional bulk messaging performs poorly and risks your number.
